Restaurant floor management software: what each kind actually does
Floor management means knowing the state of every table right now and acting on it. Four very different kinds of software claim that job. Most of them know what your staff typed, not what is happening in the room.
The four layers on the market
- Reservation and waitlist platforms manage who is coming. They are demand tools: they fill the book, but they learn a table is free only when a host taps it.
- POS table maps show which checks are open where. Useful for billing, but a table reads occupied until somebody closes the check, and reads free the moment it is paid, even if it sits dirty for ten minutes.
- Per-table sensors and buttons sense presence or let guests call for service. They work, but they put hardware, batteries and cleaning-cycle wear on every single table.
- Camera-based systems read the state of every table from the CCTV you already own: nothing on the tables, nothing for staff to tap.
The stale-state problem
Every tool that depends on a human update goes stale at exactly the moment you need it: the rush. Hosts stop tapping when the lobby is three deep, servers stop updating statuses when the kitchen is backed up, and the map quietly diverges from the room. Then quoting a wait means sending someone to walk the floor, which is the thing the software was bought to end. Ask any vendor one question: when my busiest Friday hits, who keeps this accurate?
A buying checklist
- Updates itself during a rush, with no taps required.
- Keeps working when the internet drops; service does not pause for your router.
- Needs no training beyond one pre-shift: colours on a floor plan, not a new app for every server.
- Proves payback with your own numbers within weeks, not with a case study from another city.
- Respects guests and staff: no facial recognition, no per-employee scoring, video kept in the building.
Where TableWave fits
TableWave is the camera layer: a Floor Intelligence System that turns your existing CCTV into a live map of six table states, shown silently on a host screen, with a buzz to the one staff member a table needs. It complements a reservation book rather than replacing it, and it never asks your team to tap anything. It is installed in person in a day and runs on a computer inside your restaurant. Compare plans on the pricing page or book a 30-day pilot; the pilot ends with a payback report from your own floor, and monthly billing starts only if you continue.
Questions owners ask
Do I need floor management software if I already have a POS?
They answer different questions. Your POS answers what was sold and what is owed. Floor software answers which tables are free, waiting or dirty right now. TableWave installs nothing on your POS and does not need to connect to it.
Is this the same as a reservation system?
No. Reservations manage demand before guests arrive; floor management runs supply once they are in the room. The two work well together: an accurate live map is what makes a reservation book’s wait quotes honest.
What does camera-based floor management cost?
TableWave Starter is a one-time setup fee plus a monthly subscription, with Pro and Multi-Location above it; current prices for your market are on our pricing page. The 30-day pilot is paid, you cover the setup fee, and your first month is on us if you continue after the payback report.
Will my staff actually use it?
There is nothing to use in the app sense. The host reads colours on a TV, and servers feel a buzz on a phone or watch when one of their tables needs them. Nobody logs anything, which is why adoption does not depend on anyone’s discipline.
Prove it on your own floor
The 30-day pilot is paid, on purpose: you cover your plan’s setup fee, we install in person, and you read your own payback report before any monthly billing starts.
The install is $1,500. If it earns its keep in 30 days, your first month’s on us. If it doesn’t, we take it out and you owe nothing more.
Prices in USD, before tax. Setup is non-refundable once installed; monthly starts only if you continue.
